Control what happens.Prove what happened.
Prepare. Control. Prove.
FloorPilot brings preparation, crew briefing, live incident follow-up and reporting together. For organisers, venues, security teams, production partners and public stakeholders, who all see the same thing: what is done, who does what, and what actually happened.
One event, four versions of the truth.
The run sheet is in Word, agreements in a group chat, incidents in a separate list and the report is written by hand afterwards. FloorPilot brings that back to one current picture before, during and after your event.
- Loose files, version conflicts and no clarity on which version is authoritative
- Unclear accountability: no visible owner for an action, or whether it is done
- Reconstructing the timeline afterwards from group chats and emails
- One current picture: runbook, roles, zones and actions in the same place
- Clear accountability: every action has an owner and a status
- Demonstrable timeline: actions are recorded during the work, not afterwards
FloorPilot does not replace your permit process. It makes sure the information you decide on is correct in one place.
How it works
From day one to the final record.
From preparation to accountability in one record.
Day one. The job is confirmed.
An evening event for 20,000 visitors, eleven weeks out. Nothing exists yet: no staffing, no permit, no run sheet. Just a date and a site.
From run sheet to report, in three steps.
- 1
Prepare
You start with the run sheet you already have. Roles, zones, contacts and tasks come together in one place, and before go-live you see what is demonstrably ready.
- 2
Control
Every crew role only gets what that role needs. Reports during the event immediately get an owner and a status.
- 3
Prove
What was recorded during the work becomes the report. The next edition starts from what you learned last time, not from scratch.
Yes, once the app has been opened once. After that crew can report without a connection; the report goes through as soon as there is signal again.
No. Crew scan a code and pick a role. No app store, no account per person.
That is the starting point. You import what you have; you do not start over.
From around ten crew members and one zone, up to several hundred crew across multiple zones and days.
Built for situations where overview and accountability matter
FloorPilot is developed from hands-on operational experience with events, security, temporary teams and handover between different parties.
Role-based access
The platform supports access by organisation, event and role. Sensitive information uses additional restrictions.
Controlled sharing
The organiser decides what information is shared with external partners within the available sharing controls.
Auditable work
Selected key actions, status changes and confirmations are recorded in the activity history.
Human confirmation
AI can support the work, but should not make medical, security or governance decisions independently.
Product views on this website use fictional demo data. Access and visibility are technically validated per module and pilot.
One evening, from preparation to lesson learned.
A worked, fictional festival. Not promises, but how one report moves through the whole chain.
- 1 · Starting point
Six zones, seven teams
From bar and tech to security and first aid. The run sheet already exists; the question is who needs to know what on the night itself.
- 2 · Preparation
Visible what is still open
Run sheet, emergency contacts, zones, crew roles and access are ready. Briefing and escalation are still open, and that is visible before go-live.
5 of 7 items done - 3 · Live
Crowding at the entrance
A report comes in. Command assigns it to the Security Lead, who sees only their task and zone on their phone and confirms receipt.
20:14 reported · 20:16 confirmed - 4 · Follow-up
Owner, action, status
Extra queue marshalling is recorded, the status is updated and Command closes the incident with a short evaluation.
20:31 resolved - 5 · Result
A report without reconstruction
The report consists of what was recorded during the work. The lesson, staffing the entrance earlier at peak arrival, is ready for the next edition.
